Admin Accounting Officer

Position Title                         : Admin Accounting Officer
Reports to                              : Regional Finance & Admin Manger
Based in                                 : Amman
American Friends Service Committee is a Quaker Organization that includes people of various faiths who are committed to social justice, peace and humanitarian service. Main responsibilities of this position:
To provide administrative support (accounting, HR, Log and Admin) to the country program to help ensure a smooth running of AFSC operations in Middle East Region.
Administration & logistics
  • Preparing and updating the database of existing and potential consultants, suppliers and service providers in addition to other NGOs both local and international.
  • Maintaining and checking the administrative filing system.
  • Translation of short documents (mainly Arabic to English).
  • Participate in Country team meetings and keep minutes of those meetings.
  • Provide logistics supports for International visitors including Visas process, accommodation, transportation, insurance, reservations…etc.
  • Provide support in the procurement and administration of the office; i.e. office supplies, utilities, Rent, service contract, follow-up with vendors, ensuring that goods are received in good condition, properly maintained and accounted for.
  • Assisting staff in requesting quotations and preparing bids evaluations, consultants, etc.
Human resources
  • Support staff to draft contracts, letters of engagement, etc.
  • process staff attendance sheet
  • Follow up the vacation and sick leave for all staff
  • Maintain staff human resource files for all locations
  • Keep updated the contact information of all staff at all times, including emergency information
  • Support new staff in getting settled in the office: business cards, AFSC IDs. email account, desk supplies…etc.
  • Update star café with key documents of HR

Accounting
  • Cash & Bank Management support : ensure internal control procedures followed for all cash & bank disbursement & payments, documentations,
  • Monthly reconciliation
  • Data entry /  accounting entry 
  • Maintain finance files
  • Assist in audit process

SUMMARY OF PROFILE

The applicant is expected to have:
  • University Degree in Accounting, business administration, related field
  • At least 2 years relevant experience 
  • Excellent English and Arabic language skills.
  • Excellent Computer skills
  • Organization, communication & follow up skills.
  • NGO experience is a plus.
Moreover, the following criteria are desirable:
  • Professionalism and integrity.
  • At ease with figures.
  • Meet deadlines, problem identification, active listening, and critical thinking.
