Executive Secretary
Qualifications
- Bachelor Degree in business administration or relative field
- At least 5 years of practical experience in a similar position
- Fluent in English and Arabic languages both written & spoken
Job Summary
- A competent Executive Secretary to support high-ranking officials in our college, and will be the one to organize and maintain the executive’s schedule and assist them by performing a variety of administrative tasks.
- Quick, organized, professional, with great time-management and multitasking abilities.
- It is with her diligence and competence in her work that executives can focus on her managerial responsibilities without worrying about other tasks.
- Ensuring all assigned administrative duties are carried on timely and efficiently.
Duties & Responsibilities
- Maintain the executive’s agenda and assist in planning appointments, board meetings, conferences, etc.
- Attend meetings and keep minutes
- Receive phone calls and redirect them when appropriate
- Handle and prioritize all outgoing or incoming correspondence (email, letters, packages, etc.)
- Make travel arrangements for executives
- Handle confidential documents ensuring they remain secure
- Monitor office supplies and negotiate terms with suppliers/clients to ensure the most cost-effective orders
- Maintain files and paper records ensuring information is organized and easily accessible
- Conduct and prepare reports as assigned
Requirements
- Proven experience as executive secretary or similar administrative role
- Proficient in emails and MS Office
- In-depth knowledge of office management
- Excellent organizational and time-management skills
- Good communication and negotiation abilities
- High level of integrity and confidentiality
- Knowledge in the Jordanian higher education law is a plus
