1- Administrative Assistant(m/f)

Job description:
As the Administrative Assistant, you are supporting the Intervention Manager (per ENABEL’s
Organizational Chart) ensuring that office operations are running smoothly and effectively. This
includes organizing all aspects of the project events/workshops, providing logistical support,
reception and secretariat tasks in addition to other administrative support, as required.

Your main duties include:
  • Managing the administrative functions of the office which includes: Greeting clients, answering phones, managing incoming and out-going correspondence, providing general admin support, arranging internal and external events and meetings, taking, documenting and sharing memos and minutes of meetings as required, and maintaining files.
  • Be in charge of other basic administrative and logistical duties, such as managing office supplies and interacting with vendors including preparing purchase orders as required, supporting logistics, travel and accommodation.
  • Manage IT assistance and needs and liaise with IT service provider to address all IT related issues.
  • Stay abreast of Enable’s legal status in Jordan and this includes residencies and work permits for expats, office registration and office licensing, office lease…etc.
Complimentary Responsibilities:
  • You will liaise with the relevant authorities/agencies to ensure legitimacy of status in Jordan pertaining to operations and administrative support.
  • You will liaise with the relevant implementing partners, donors…etc. as required and upon the need.
Your profile
  • You hold a Bachelor’s Degree in relevant field.
  •  At least 2- 3 years of experience in managing administrative tasks.
Specific competences or knowledge required:
  • Demonstrated high Communication Skills.
  • Demonstrated high Organizational and time management skills.
  •  Customer or Client Service oriented.
  •  Desire to be proactive and create a positive experience for others
  • Excellent command of spoken and written Arabic (native);
  •  Good command of spoken and written English.
  • Excellent computer skills.
Specific competences or knowledge considered an asset:
  • Experience in projects for bilateral organisations and/or EC

2- Financial Controller (m/f)

Job description
As the Financial Controller, you are supporting the International Finance and Administration
Officer (RAFi) (per ENABEL’s Organizational Chart) through overseeing the accounting,
procurement and administrative operational activities on a timely manner ensuring that all related
actions are running properly and that the accounting allocations are appropriately made and
documented. You will be required to ensure 1) high quality of financial information;
documentation and reporting 2) manage fiduciary risks, supporting the program through providing
leadership and coaching to both local and international staff and ensuring high quality of financial
information; documentation and reporting. Main tasks include:

  • Financial Management: this includes verification of the monthly financial statements, budget monitoring and analysis, financial reporting, audit reviews and assessment processes.
  • Operations & Procurement Management: Ensure proper management of project related purchases, contract management and logistics.
  • Monitor and manage project cash balances and maintain a tracking system ensuring that all project related payments are paid on a timely manner.
  • Management all aspects of the Procurement and Grants /ASC agreements ensuring that they all meet the required contractual and compliance requirements in accordance to ENABLE’s policies. This includes efficient and timely processing of advances, reimbursements and reconciliations, track of spending …etc.
  • Provide Guidance and support on the fiscal and social domains of the host/partner country through monitoring and disseminating the related updates.
  • Provide leadership and support on financial reporting, audit reviews, internal control and assessment processes in compliance to ENABLE’s Policies.
  • Contribute to the effective implementation of the program through supervising, coaching, and motivating staff members.
  • Contribute to the capacity development of partner entities through identifying their needs and providing capacity building activities to ensure efficient program implementation.
Complimentary Responsibilities:
  • Responsible for the day-to-day financial and operational actions ensuring that it is in line with the Donor’s requirements and standards and that functions are effectively coordinated between the team members.
  • Monitoring of the overall budget and spending ensuring that it is frequently reviewed and updated according to the Donor’s requirements.
  • Work closely with the concerned team members & partners to develop sound systems to detect any potential irregularities or inconsistencies and come up with prevention techniques.
  • Liaise with the relevant staff members, implementing partners, stakeholders, clients…etc. on the financial needs and requirements.
Your profile

Education

  • You hold a Master’s Degree in Management, Finances-Accounting.
  • At least 5 years of experience in similar function
Specific competences or knowledge required:
  • Experience with team management
  • Experience in capacity development and training
  • Demonstrated high communication skills
  • Excellent computer skills
  • Excellent command of spoken and written Arabic (native);
  • Good command of spoken and written English.
  • Experience in following up audits is an asset.
Technical Background:
  • Budgetary management and financial analysis.
  • Finance controlling and audit.
  • Advanced knowledge of Excel and Word.
  • Use of financial software. Experience in the use of an ERP is an asset.

3-  Monitoring &Evaluation/Communication Officer (m/f)

Job description:
As the Monitoring & Evaluation/Communication Officer, you are supporting the Intervention
Manager (per ENABEL’s Organizational Chart). You will be responsible for the day-to-day
implementation of the Program’s monitoring & evaluation and communication requirements. You
will ensure that the intervention is provided with relevant information about results in order to
use it for monitoring the performance of the intervention, for reflection & learning on the change
processes, for decision making, for reporting to learn as well as to inform future interventions by
ENABLE or its development partners. You will follow the results-based approach in its
management and will thus be reporting on progress and achievements of the Intervention while

keeping the concerned donors/clients/ stakeholders involved and informed. You will ensure
institutional communication in order to promote a positive image and accountability of the
intervention, will assist in the development of the intervention’s communication strategy and the
proper implementation thereof and will support the intervention in its knowledge building and
results dissemination activities, so as to ensure that the lessons learned and recommendations are
known among the targeted audiences and you will be working within the relevant parameters of
reporting.

Your Main tasks and duties include:
  •  Putting in place a monitoring system of the results of the programme in order for the intervention to have all necessary information to follow up performance, to support strategic decision making, to render accounts of results achieved and to generate the necessary data for evaluation, action research and knowledge building.
  • Coordinate and ensure results monitoring (data collection and data analysis) in order to provide each indicator with information and to be able to use the information obtained to follow up performance, to support strategic decision making and to report on results, and to promote reflection & learning.
  • Advise on decision making, planning and monitoring activities in order to support intervention management in accordance with the management for results principles.
  • Facilitate and support learning activities in order to support installing critical reflection & evidence- informed learning in the intervention and to ensure that lessons are identified and that the relevant experiences from execution are capitalised on and disseminated.
  • Promote a results-oriented culture and ensure that management for results becomes a common/shared respossibility.
  • Facilitate capacity development of partner entities in order to improve monitoring of their organisation, processes and systems and of their staff’s competences.
  • Network with peer experts in order to continuously learn, share lessons learned, remain informed of recent M&E evolutions and adopt an innovative attitude.
  • Ensure institutional communication in accordance with institutional orientations in order to promote a positive image and accountability of intervention
  • Support the intervention in its knowledge building and results dissemination activities in order to ensure that the lessons learned and recommendations are known among the targeted audiences.
Complementary Responsibilities:
  • Responsible for the day-to-day implementation of the Program’s monitoring and evaluation and communication requirements ensuring that it is in line with the Donor’s requirements and standards.
  • Ensuring that the M&E and communication plans are frequently reviewed and updated according to the Donor’s requirements.
  • Work closely with the concerned team to develop M&E tools to measure the results of related activities, including contractor performance, and manage application and implementation of these tools to assess programmatic progress.
  • Conducting ongoing review of data collected, analysis and troubleshooting for inconsistencies
  • Liaise with the relevant implementing partners, stakeholders, clients…etc. on the M&E and communication needs and requirements.
Your profile
  • You hold a Master’s Degree in a relevant field.
  • At least 3 years of experience with M&E/communication work, preferably in development cooperation
Specific competences or knowledge required:
  • International professional experience/in developing countries
  • Formulation of communication strategies
  • Conducting workshops
  • Demonstrated high communication skills
  • Demonstrated strong writing skills, website communication and social media
  • Excellent command of spoken and written Arabic (native);
