Position: E-Learning Centre Administrator .

Contract Duration: 2 months 

• General Purpose of the Position

To provide administrative, logistic, and procurement support to the Project Director, the teams coordinators, and to the staff to ensure the effective management of the Centre and the implementation of all activities, and report directly to the Project Director.

• Main Responsibilities of the Position

Administration, Proposals:

a)Under the supervision of the Project Director, fulfill important administrative, supervision, and coordination functions in the centre.
b)Call accepted students and invite them to the courses.
c)Take attendance and follow up with absent students.
d)Maintain up-to-date student records and maintain filing system properly.
e)Support the Project Director in submitting the monthly, six months and annual reports to the Country Director. 
f)Collect student testimonials and ensure the documentation of the events.
g)Maintain up-to-date records and filing system.
h)Monitor and support the printing of textbooks handouts and documents needed by the teachers.

Hosting & Hospitality:

a)Ensures a prompt and warm welcome to the entire centre. Ensure that welcoming is organized for visiting JRS personnel.
b)Arrange logistics for meetings or hosting of visiting staff.
c)Ensure enough stocks for staff and students' coffee breaks.

Bookkeeping: 

a)Track and record all expenses of the centre supplies and requirements. 
b)Ensure proper documentation of receipts and filing of all expenses (phone bills, electricity, water, internet, and staff expenses)

Human Resources: 

a)Support the Project Director, Education Coordinator, and HR officer in all project-related human resources activities and timesheets.

Logistics and procurement:

a)Ensure that the Centre is open, operational, and staffed during working hours.
b)Ensure that the Centre is properly stocked and maintained.
c)Ensure maintenance of all office equipment. 
d)Support the Project Director in managing JRS Centre transportation network for all students, including buses and taxi reimbursement administration. 
e)Ensure that textbooks and certificates are available when needed.
f) Is responsible for order, hygiene, and maintenance of office equipment.

•Is available for other duties and activities as requested by the Project Director and that are within the ambit of the position.

• Qualifications and skills

 Compassion and strong commitment for refugees and other displaced people.
 At least a Bachelor’s degree in Computer, IT, Business Administration or any other related field.
 Good proficiency in both written and spoken English (Arabic a strong asset).
 Trustworthy, good listener, creative, flexible, detail-oriented and can maintain confidentiality.
 Computer Literate: Microsoft Excel, Word and PowerPoint.
 Experience in project planning and reporting.
 Experience in office management.
 Polite, calm, and friendly demeanour with individuals from many backgrounds.
 Ability to balance multiple responsibilities professionally, quickly, and calmly.
 An appreciation of education delivery in challenging environments Ability to work in multicultural environment.
