Driver / Logistics assistant (MENA RMU office)

JOB SUMMARY:
The Logistics Assistant/ Driver main responsibilities are to handle the logistics activities and office related operation issues by the instructions of the Administration and logistics department, and to drive CARE vehicle and ensure its maintenance, the position holder also handle minor maintenance of the vehicle until it reached to professional Mechanic.  
RESPONSIBILITIES AND TASKS:

Job Responsibility #1 Drive CARE vehicles safely for errands in town and for official trips

  • Always drive CARE vehicle carefully ensuring the security of passengers in observance of CARE policies and procedures, abiding by all traffic and other relevant laws and never to exceed the speed limit.
  • Ensure that passengers are observing the security on board measures established by CARE especially regarding the wearing of seat belts and helmets where applicable at all times.
  • Ensure proper loading and offloading of goods on the vehicle.
  • Carry a valid driving license at all times, and ensure that all paperwork and documentation in connection with the assigned vehicle are always in order.
  • Properly fill the requested document on board including the vehicle logbook and the vehicle maintenance book and produce the requested reports on time.
  • Never endanger passengers or the vehicle through careless driving or poor maintenance.
  • Never drive at night outside towns unless permission has been given by the supervisor, car must be used only during office hours and for business trips.
  •  Follow-up on the assigned vehicle relevant documentation including insurance, roadworthy, international vehicle certificate, international insurance …etc.
  • Assist the Administration officer in controlling the use of the assigned vehicle and the filling by the users of the relevant documentation and inform the Supervisor of any problems.
  • Check the fire extinguisher and other safety equipment in the vehicle and inform the Supervisor of any problems.
  • Ensure the Fuel card / booklet is safely stored in the vehicle.

40% of Time

Sub responsibilities: 
  1. Ensure the maintenance of CARE vehicle and follow up on repairs to guaranty its optimum conditions
  • Check the assigned vehicle daily, or more often if necessary, following a pre-established schedule of preventive maintenance.
  • Clean inside and outside the assigned vehicle at least once a week.
  • Participate in the minor repair on the vehicle and do the follow-up and check of vehicle that has been sent for maintenance or repair at the garage to ensure that the completed work is satisfactory and as agreed.
  • Participate in the drawing up of service schedules for assigned vehicle, complete the necessary paperwork and organize all work to be carried out by outside mechanics or garages.
  • Advise the line manager when major vehicle maintenance is required.
  • Keep a well maintained tracking system on all vehicle costs and services.

5% of Time

Job Responsibility # 2: Logistics Responsibilities:
  1. Provide operation assistant to the Regional Office with the guidance of the Administration team.
  • Assist the Senior Admin Officer and the Procurement officer as requested in office-related operational issues such as moving furniture, boxes, receiving deliveries from suppliers, storing supplies, etc.
  • Ensure proper functioning of office utility systems—electricity, water, gas, etc. by collecting bills, adding them to tracking sheets and making sure to process their payments.
  • Assist the Procurement officer with procurement duties, such as contacting vendors directly and arrange for maintenance work under the procurement’s lead.
  • Assist with payment of bills to vendors, cell phone companies, etc.
  • Deliver CARE documents to recipient agencies in a timely and appropriate manner and confirm receipt in the dispatch logbook.
  • Must be proactive rather than reactive with Logistics tasks, should constantly monitor the office and check if any maintenance work is needed.
  • Assist and follow up on other Administration related issues as needed.
  • Responsible for managing the RMU office building (ensuring to turn off the lights, heaters, windows, electricity after leaving and any other security measures needed).
  • Any other duties requested by his line manager.

45% of Time

  1. Emergency Response / Staff Security
  • Take a lead role in facilitating timely, quality administrative support function delivery in the time of emergency response.
  • Guides and supports management on staff security concerns.
  • Promote a safe and secure work environment; foster a safety and security culture; and ensure consistent application of, and compliance with, CARE International safety and security policies and procedures.

QUALIFICATIONS  
  1. Education / Training
Required: 
  • Preferably diploma / undergraduate degree
  • Valid Driving license
       Desired: 
  • Technical school diploma
  • Trained professional driver certificates
  • Experience in logistics in other NGOs
 Managerial Know How 
This position requires (Task) managerial know-how.  
  1. Experience Required:

  •  Four years of experience as a driver in similar organization

  • Experience in handling logistics for other similar organization

  1. Skills Required

  • Very good command of Arabic and English Languages (spoken/written).
  • Working knowledge and experience of vehicle mechanics and how to maintain and repair minor faults on vehicles with petrol or diesel engines.
  • Thorough knowledge of Liberian traffic laws and geography required.
  • Good Planning and organizational skills
  • Well-developed interpersonal and communication skills
  • Professional appearance and manner.
  • Computer literacy, specifically MS word for windows.
  • Knowledge and experience in non-profit organization is a plus.
  • Capacity to deal with ambiguity.
Desired:
  • Hands-on experience in using financial softwares such as PeopleSoft
