Job Description:Job Role
Execute daily administrative work for the Vice President with a minimum of guidance/ direction

Job Description
  • Complete a broad variety of administrative tasks for the VP including but not limited to greeting and directing all visitors, screening calls, mail processing, managing an extremely active calendar of meetings, composing correspondences, collecting reports, coordinating the maintenance of office equipment, administering petty cash according to established procedures.
  • Arrange complex and detailed travel plans, itineraries, and agendas; and compile documents for travel-related meetings and coordinate pre-planning of trips, and process travel expenses and reimbursements.
  • Support the organization of events, such as internal meetings, conferences, visits from guests, monthly gathering and special events.
  • Back up electronic files using proper procedures. Performs records management of a complex filing system, creating files and records as necessary using judgment and knowledge of office requirements, updating files and records, determining retention, and retrieving files and documents as needed.
  • Act as a liaison between the VP, subordinates or others by transmitting directives, instructions, assignments, and following up on the status of such.
  • Act as the Local Document Responsible Person for the management of the local SOP system and Archive Responsible for the department.
  • Oversee Office Management:Ensure office staff has sufficient equipment, furniture, stationery etc. to permit them to work effectively.

    Ensure maintenance of inventory and office supplies, and related contracts in line with local & global SOPs

    Ensure general administration of office utilities, insurance and courier & shipping services.
