JOB SUMMARY:
- To assist in contributing to HR main functions, focus on short-term tactical people processes (such as recruiting, benefits, salary structure, and policy, pay, and performance reviews).
- To contribute to the Organization Development (OD) strategy, focus on longer-term strategic people processes (such as training, development, leadership, succession, mission, vision, and values).
Main Duties and Responsibilities
- Support and Coordinate implementation of staff development and capacity building plan.
- In close coordination with HR & Admin Manager and finance department, collect all staff’s timesheets in a timely manner and on monthly basis and file appropriately;
- Manage and lead the entire recruitment process from Personnel Action Form (JRF) to Employment Contract preparation;
- Ensure compliance to hiring policies and procedures.
- Ensure that all aspects of recruitment and contracting are fully compliant legally and in accordance with best practice in HR and local employment practices and requirements
- Maintain up-to-date leave tracking record, and follow up on leaves for all staff, make sure that everything is reflected on the report. Perform required changes to the tracker at the end of each month in line with review of timesheets;
- Maintain Probation and Annual Evaluation Tracking Sheet reflecting all staff evaluation deadlines. Send reminders to the hiring managers on the evaluation dates;
- Maintain employment contract tracker and update staff contracts accordingly before the expiry date;
- Follow up with department heads to develop staff learning and development plan Ensure exit process and relevant paperwork is completed in line with IRJ policies and requirements;
- Prepare Termination Letters and share accordingly with the staff members;
- Prepare Employment Confirmation Letters for staff departing Islamic Relief ;
- Maintain and report employee statistical data, as requested.
- Manage all health insurance issues including employee inquiries and communication with the insurance provider;
- Participate in interviews for new hires staff;
- Maintain confidentiality of all national staff personnel issues including disciplinary procedures and contracts/ pay rates;
- Maintain HR Database and reflect all the changes that occur during the respective month;
- Coordinate the recruitment process of new staff in assistant levels and laborer;
- Assist in preparation and process all national staff employment contracts;
- Maintain and update IRJ staff files with accuracy and confidentiality, ensuring completeness of each individual staff record including Job Description, contracts, performance information, and appraisals and other.
- Assist with the HRAM and management to ensure performance appraisals are carried out for every staff after probationary period and once a year.
- To coordinate staff development activities to promote positive office culture.
- Follow up with field staff to identify and prioritize capacity building needs, awareness raising needs.
- Maintain the confidentiality of all sensitive HR information at all times;
- Perform any other tasks not listed in this JD but required occasionally by the organization and the line manager.
WORKING CONDTIIONS:
Amman is the employee duty station. The employee may be required to perform assignments after his/her working hours and on holidays beside field trips to field offices.
QUALIFICATIONS / SKILLS:
- Education: BA degree in a related field or relevant field experience
- Experience: 3 years’ experience in a similar position, with proven skills in human resource management.
- Knowledge and skills: IT literate, with good report writing skills and financial management skills.
- Language: v. good in spoken and written English and Arabic.
