Assignment
The Liaison/Admin Assistant is responsible for ACTED administrative and liaison support Under the direct supervision of Country Admin/HR Manager
Responsibilities
- Prepare letters for Embassies and other relevant Gov. Offices for various purposes (Visa request, Work permit request, Registration, travel permit, etc.)
- Fix appointments for ACTED senior management staff with authorities as per requirements;
- Share any updated legislation, law and policies released by country authorities with Head of Mission & Senior Management staff;
- Book accommodation for staff when there are no available rooms in ACTED guest houses
- Regular communication with ACTED HQ (Hub Officer) regarding (travel of all international staff, visa request and legal issues linked with HQ);
- Update the visa follow up table and ensure that all International staff have updated visa
- Follow up monthly payment for office and GH electricity, water supply, Internet and telephones
- Assist Country HR/Admin Manager when organize seminars, conference, work shop etc;
- Update Premises Follow up table.
- Mange ACTED guest houses and their needs. such as maintenance
- Create new personal folders for new National and International staff;
- Update Personal Folder & Personal Folder Database on regular bases & ensure the accuracy of data;
- Filing
- Follow with field to collect staff personal folders missing documents;
- Make/laminate ID cards staff;
- Update leaves follow up table for all staff;
- Support HR Department if needed.
- Handle small maintenance work inside the guest house or at the office i.e. hanging posters on the wall.
- Repair equipment or appliances
- Assist handyman with electrical, plumbing, liftings water bottles etc.
- Undertake duties as assigned or emergency tasks
Required Skills & Qualifications
- Ability to perform more than one task (multitasker)
- NGO experience is required.
- Very Good in English
- Very Good Communication Skills
- Ability to manage the daily tasks.
- 1-2 years of experience in Administration & Liaison work.
- Strong negotiation skills and flexibility in cultural and organizational terms.
- Familiar with the governmental transactions & process
- Proficiency in Excel
- Good knowledge of the country laws
- Minimum diploma certificate

- Contract duration is 6 months, renewable based on budget and performance
- The Salary is 676 JODs
