Administration Front Officer (Female) Responsibilities:
- Greet and assist visitors when arrive at front office.
- Provide general administrative support to company employees.
- Ensure company’s policies and requirements are met.
- Organize a filing system for company documents.
- Assist in the onboarding process for new hires.
- Responsible to monitor and follow up on Employees attendance in office and reporting to HR.
- Schedule meetings and appointments within the office.
- Organize the office layout and ordering stationery and equipment.
- Maintain the office condition and arranging repairs and oversee facilities services.
- Monitor and shopping of all office supplies in coordination with HR.
- Perform basic bookkeeping activities and update the accounting system.
- Prepare needed documents and letters for Government, Insurance, Social Security, Bank, etc...
- Pay bills and manage petty cash in coordination with Finance.
- Arrange Employees travel and accommodations in coordination with Management.
- Work in coordination with HR to update and maintain office policies as necessary.
- Maintain office physical inventory including Equipment, Furniture, etc….
- Ensure administrative invoiced are paid on time to vendors.
- Manage contract, price negotiations and payments to different office vendors, and service providers.
- Plan in-house and/or external office (team building) activities in coordination with HR.
- Prepare regular reports on expenses to Finance and Management.
