Reporting Officer
Médecins du Monde (MdM) is an international humanitarian organisation whose mission is to provide medical care for the most vulnerable populations, the world over, including France. It seeks to stimulate voluntary commitment from doctors, other health care providers, and from those whose expertise in other fields is needed for its activities, to enlist all competent support required for the achievement of its projects, and to seek at all times to encourage close working relationships with populations in its care.
The context of the mission
The goal of MdM Syria Mission is to offer medical care services to the Syrian civilian populations in close collaboration with MdM-Turkey (Dünya Doktorları Derneği) and MdM-Spain, both part of the MdM international network.
MdM interventions aim to support access to health care in Idlib, Aleppo, Dera’a and El Hassake governorates (areas to be potentially expanded), through direct implementation and to provide medical support to partners on the field. Primary Health Care, Sexual and reproductive health and access to Secondary Healthcare is part of MdM package of activities. Psychosocial activities are under process of being introduced within the projects.
The Syria coordination supervises the whole intervention inside Syria, led from 4 different countries based on a mix of remote management of national teams and of local structures and CBOs.
In the framework of such intervention MdM – F is looking for a reporting officer who will join the mission coordination team based in Amman,
Overall responsibility
As a Reporting officer, you will be in charge of:
- Reporting and Proposal Writing
- Internal & External Communication
The Reporting Officer will report to the Operations Coordinator, and will be the reporting Technical Referent at field level for the Mission Coordinators, including:
- Field Coordinators;
- Medical Coordinator and his/her related team members;
- Support Services and his/her related team members.
Also, s/he will be under the technical supervision of the Regional Grants Manager.
Essential Duties
Reporting and Proposal Writing
- Ensure the production of concept notes, proposals and donor reports, in coordinating and compiling the provision of inputs from the different Mission Unit/Departments;
- Contribute to ensure systematic adherence to donor guidelines, compliance and strategic orientations, among which visibility policy;
- Ensure development and dissemination of contractual commitments made to donors (e.g. grant kick off)
- Contribute to ensure that donor indicators are consistent and compliant with the scope of the activities and harmonised for all programs and that data provided for reporting on project performances are in line with donor requirement;
- Contribute to ensuring consistency, quality, and coherence between narrative, budget and all related annexes;
- Ensure timely submission of reporting and proposals to RO/HQ/Donors, according to established timelines;
- Ensure the permanent liaison with the Regional Grants Manager and contribute to keep up to date the Grants Tracker;
- Whenever relevant, attend Donor meetings/visits, record and disseminate the information shared;
- Prepare and consolidate information for the platform, donor, partners upon request from line manager
- Act as the Technical Referent at mission level in term Grant Reporting requirements
- Ensure capacity building of MdM staff on Proposal/Reporting duties, develop training modules and progressively transfer to the field teams the workload and knowledge.
Internal & External Communication
- Produce and properly disseminate the situation report (SITREP) by collecting and compiling all relevant mission information on a monthly basis;
- Contribute to ensuring the preparation and organization of the Coordination Meetings/Workshops;
- Produce and properly disseminate Minute of Meetings (MoM) as per requested by your line-manager;
- Ensure proper circulation of grants related information within the mission, and propose adjustment/correction whenever it is needed;
- Support the Operations Coordinator on ensuring Ensure dissemination and filing (soft and hard copies) of all project documentation in the mission;
- Organize the regular production of Program Communication Document such as maps, briefing, videos;
- Organize and support (whenever necessary) HQ/Media/Com field visits in direct link with Field Coordinator and ensure compiling and dissemination of operational information needed for communication purposes
- Ensure general mission and program briefing to new comers upon request of your line-manager.
NB: considering the purpose and values of the organization, MdM requests to its employee complete flexibility in term of duties and commitment, as their job description can be adjusted throughout the year according to needs and priorities.

- Bachelor Degree on social sciences or related fields
- 2 years of professional experience including in humanitarian mission and or development projects ;
- Strong proven experience (minimum 1 year) of reporting and proposal writing for international donors;
- Good understanding of M&E and project cycle management
- Comfortable with MS Pack Office and IT equipment in general;
- Great organizational and communication skills are mandatory;
- Reactivity, anticipation, adaptability, capacity to take initiatives
- Excellent command of English is a must (oral and written);
